Creating & Structuring Pages
Page tree with sub-pages, drag & drop, icons and search – plus the block editor with slash menu, formatting and [[page links]].
The notebook organises knowledge as a tree of pages and sub-pages – one tree per level (company, team, project, personal). This page shows how to create and arrange pages and fill them with the block editor.
Creating pages and sub-pages
Open Knowledge from the sidebar (or the Knowledge tab inside a project or team).
In the left column, hover over the desired level and click + (Add page). If the level is still empty, you will see the Create first page button instead.
The new page is initially called Untitled and opens immediately – just type the title and start writing.
For a sub-page, hover over an existing page in the tree and click the + on its row (Add sub-page). Sub-pages can be nested to any depth; the arrow in front of the title expands and collapses branches.
Assigning an icon
Next to the title sits the icon button (Choose icon). It opens a small emoji picker with a curated selection; the chosen emoji then also appears in the page tree. Remove icon gets rid of it again.
Arranging via drag & drop
Drag a page in the tree with your mouse:
Middle of a row – the target row lights up: the page is nested there as a sub-page.
Top or bottom edge of a row – a blue line appears: the page is sorted before or after it (same depth in the tree).
Drag & drop works within one level. To move a page from, say, “Personal” into a team, use Move to (see below).
Duplicate, move, delete
The ⋯ button on each row (More actions) offers:
Duplicate – creates a copy of the page.
Move to – shows all other levels where you have write access. The page (including its sub-pages) lands at the top level of that tree.
Delete – after the confirmation “Delete this page and all sub-pages?” the page is permanently removed together with all its sub-pages.
Deletion cascades: all sub-pages are deleted too. Move sub-pages out via drag & drop first if you want to keep them.
Searching
The magnifier icon in the header of the left column (Search knowledge) opens the search. From two characters on you get results from all levels you have access to – with a level badge and a text snippet. A click opens the page and expands the tree at the right spot.
Writing with the block editor
The editor works like Notion, without a fixed toolbar: “Write something, or press '/' for commands…”. Press / at the start of a line to open the slash menu with all block types:
Text, Heading 1, Heading 2, Heading 3
Bullet list, Numbered list, To-do list (checkable checkboxes)
Table (with header row), Quote, Callout (highlighted note box), Code block
Divider, Image (alternatively just drop or paste images into the editor)
Page link – inserts a link to another knowledge page
Keep typing after the / to filter the list; pick with ↑/↓ and Enter.
Formatting text: select a passage – a floating menu appears with Bold, Italic, Strikethrough, Heading 1, Heading 2 and Link.
Linking pages & backlinks
Type [[ in the middle of your text followed by at least two characters of a page title – a suggestion popup shows matching pages, Enter inserts the link as a clickable pill. Alternatively use Page link from the slash menu.
Linked pages automatically show the reverse direction: below the title, “Linked from:” lists all pages that reference the current one – over time this grows into a connected knowledge web.
Use links instead of duplicates: one central page (e.g. “IT contacts”) and many [[…]] references to it stay current far more easily than five copies.
